Elements allows for certain users to report on a whole host of outputs and information relating to schools, users, faculties and research groups. You can report on publications, OA compliance, profile completeness, ORCID's, professional activities and teaching activities. In order to be able to report on these topics you will need to be given permission by the Elements team. If your role involves managing or co-ordinating research activities in Elements and you don't currently have permission to view reports please contact us at elements@sussex.ac.uk.
Over the past two years the Elements team have developed custom reports that allow (school staff/research staff) to report on a variety of topics such as publications, OA compliance, teaching and supervision activities, professional activities, ORCID claiming, Units of Assessment and research groups. Below is a list of reports we have created for school, faculties and Units of Assessment.

Our publications reports cover all individual schools and faculties. These reports pull in all publications associated with every member of a school or a faculty and displays information about each publication. This report is designed to be large in it's scope to provide you with an overview of the entire output of a school or faculty.
Note: Within Elements, the Faculty of Media, Arts and Humanities and the University of Sussex Business School function in the same way as the individual schools that make them up. This means you can report on either faculty by selecting the School of Media, Arts and Humanities or the University of Sussex Business School.
Open Access Compliance reports work similarly to publication reports: they gather publication data for each person within a school or faculty. However, compliance reports only include journal articles and conference proceedings, as these are the publication types covered by the REF Open Access policy. The report shows whether each publication is compliant and, if not, explains the reason for non-compliance. Please refer to our compliance reporting guide for a detailed explanation of each non-compliance reason.
Non-Compliance Reasons Explained:
In the column ‘Non-Compliance Reasons’ you’ll see up to five explanations for why a publication isn’t compliant. These often appear in combination. Below is a concise explanation of each reason and what to check.
Item not live
This means the record hasn’t been deposited to SRO. Check the column ‘Repository Status: if it’s not PUBLIC, the item isn’t live. Items claimed in Elements but not deposited in SRO cannot be compliant. “Item not live” often appears with other reasons because a missing deposit usually means missing dates, files, or other required information.
No file of compliant version
The repository doesn’t contain a usable file (accepted or compliant version). This can mean no file was uploaded, or the uploaded file is the wrong version (for example, the published version when only the accepted manuscript may be made available). We request the correct file, but it is not always supplied.
Missing effective date
Either the accepted date or the online/published date is missing. These dates are needed to determine compliance — especially the accepted date, since deposit must occur within three months of acceptance.
Missed deposit deadline
The publication was deposited to SRO more than three months after the accepted date, so it cannot be compliant.
Embargo exceeds maximum
The embargo period is longer than allowed: over 12 months for the sciences or over 24 months for the humanities. Publications with embargoes beyond these limits are non-compliant.
You can report on publications and OA compliance of Units of Assessment instead of schools in Elements. The UoA reporting will pull in publications and OA compliance information based on users who have been manually associated with a UoA in Elements.
Filter the report by the UoA you desire and a date range if you wish. This report will display all publications associated with each member of the UoA.

You can report on the completeness of Elements profiles either by school or by individual user. The completeness of a profile refers to whether a user has a photo, an overview, research interests, teaching and supervisions activities, professional activities, a claimed ORCID and fields of research labels.
Filter by school and to only include academic staff. Export the table to see individual completeness by user.
Profile Completeness Per School
Filter by desired school to see the overall percentages of completeness of the selected School. The report includes all current academic staff and excludes research students.
Research Groups can be set up in Elements in order to create links between research groups, members of the group and also publications. Publications can be manually linked to research groups in order to produce a live list that can be placed on a research group's webpage. This process is further outlined in our research groups guide. You can either report on the manually linked publications if you wanted to know which publications are currently appearing in your webpage list or you can report on all publications associated with any member of the research group. Much like the Units of Assessment, research groups are manually managed and will need an administrator to add members to the research group.

This report displays publications manually linked to the research group for the purpose of placing the publication list on a webpage. You can filter the report by research group.
Research Group Members Publication Report
This report will display every publication associated with each member of a research group. You can filter the report by research group and date.
ORCID ID's allow for users to automatically claim and manage publications within Elements. For more information on ORCID and the importance of setting one up and claiming it within Elements see our ORCID guide. We have created a report that pulls in all academic current staff and displays whether they have claimed or haven't claimed an ORCID for their Elements profile. This is filterable by school and whether an ORCID has been claimed or not.

Professional activities are added by users, covering a range of event participation, editorship, journal reviewing, group membership and much more - see our guide for more information. This report allows you to report on the professional activities associated with each member of a school, providing information about the type of activity as well as dates, descriptions of the activity and more. You can filter this report by school, date and activity type.

Teaching and supervision activities are added by users covering courses taught or developed, mentoring and supervision of PhDs. This report allows you to report on the teaching and supervision activities associated with each member of a school, providing information about the type of activity as well as dates, descriptions of the activity and more. The Basic Reporting function in Elements is a great way to quickly pull a range of data from the system.
To access Basic Reporting, log in to Elements and click Menu > Reporting > Basic Reports. Here, you can pull information on your school, department, or individuals. Reports include:
Please note that using the date filter in Section 2 of the Basic Report will include all records without a reporting date.
The reporting date automatically updates on every record based on a date hierarchy, for example, if there is only an accepted date on the record, the reporting date will be the accepted date, but as soon as a published date is added, the reporting date will automatically update to this date. Very old records may not have any dates, and therefore no reporting date, and so will be included on all reports, even if they are date-filtered. These no-date records can be removed in Excel by using the filtering function in the Reporting Date column.
